Welcome to Better Tennis Plus (BT Plus). By enrolling in our coaching programs, booking courts, or participating in any activities at our venues, you agree to comply with the following Terms and Conditions. These terms ensure a safe, fair, and positive environment for all players, parents, and coaches.

Code of Conduct & Integrity

Better Tennis Plus strictly operates under the national standards set by Tennis Australia.

  • Zero Tolerance:We enforce a zero-tolerance policy for any form of bullying, harassment, discrimination, or abusive behaviour on or off the court.
  • National Policies:All participants, parents, and spectators are bound by the Tennis Australia Member Protection Policy and the Code of Behaviour: Competitive Play.
  • Safeguarding Children:In line with the TA Safeguarding Children Code of Conduct, all BT Plus coaching staff hold current Working with Children Checks (WWCC) and National Police Clearances. Parents and guardians must remain responsible for minors outside of active, scheduled coaching session times.

Enrolment, Fees & Payments

  • Payment Terms:All term-based coaching, squad fees, and programs must be paid in full prior to the commencement of the first scheduled lesson, unless an approved direct debit arrangement is in place.
  • Cooling-Off Period:New term-based coaching enrolments are subject to a 7-day cooling-off period from the date of booking. Cancellations within this window will receive a full refund, minus the cost of any sessions already attended.
  • Non-Refundable Policy:Outside the cooling-off period, program fees are non-refundable and non-transferable if a participant chooses to withdraw mid-term.

School Holiday Clinics

Our holiday clinics are high-energy, multi-hour programs with restricted participant-to-coach ratios. Due to scheduling commitments, the following specific rules apply:

  • Booking & Confirmations:Places are allocated on a first-come, first-served basis and are only secured once full payment is received.
  • Cancellations & Transfers (more than 48 hours' notice):You may transfer the booking to another day within the same holiday clinic period (subject to availability) or receive a credit note.
  • Cancellations & Transfers (less than 48 hours' notice):No refunds or credits will be issued for cancellations or change of mind inside this 48-hour window, as coaching staffing levels are already locked in.
  • Drop-off & Sign-In/Out Safety:Children must be signed in and out by a designated parent or guardian at the start and end of each clinic day. Coaches are responsible for children strictly during the scheduled clinic hours; children must not be left unattended at the club before or after the designated times.
  • Lunch & Allergies:Parents must provide a water bottle, snacks, and lunch for full-day clinics. BT Plus is a nut-aware environment. Please ensure no nut products are brought to the clinics to protect participants with severe allergies.

Cancellations & Make-Up Lessons (Term Programs)

Running smooth schedules requires predictable attendance, but we understand life happens. We handle missed term sessions as follows:

Player Absence (Private Lessons)

  • 24-Hour Notice Required:To receive a make-up session, you must notify BT Plus in writing at least 24 hours before your scheduled private lesson.
  • Limit:A maximum of one (1) make-up session is permitted per term, issued as a 3-month expiry pass (subject to coach availability).
  • Late Notice:Missed lessons or cancellations with less than 24 hours' notice forfeit the session fee.

Player Absence (Group & Squad Lessons)

Because group sessions run with fixed overheads, individual absences from group classes cannot be refunded or rescheduled.

Wet Weather & Extreme Heat Policy

Player safety is our priority. BT Plus aligns its weather cancellations with the Tennis Australia Extreme Weather Policy.

Our Weather Guarantee — Term Lessons

If a session is cancelled by BT Plus due to weather, we will either arrange a designated holiday make-up session, convert the class to an off-court tactical session (max twice a term), or credit the session value to your next term's invoice.

Our Weather Guarantee — Holiday Clinics

Clinics generally run rain or shine. In the event of persistent rain or extreme heat, coaches will utilise the clubhouse facilities for indoor tennis drills, tactical video analysis, and tennis-themed interactive games. If an extreme safety event requires full cancellation, a clinic credit voucher will be issued.

Court Bookings & No-Shows

  • Cancellations:Casual court bookings must be cancelled at least 6 hours prior to the booking time via our player portal to receive a full credit.
  • No-Shows:Failure to show up or late cancellations may incur a late fee or forfeiture of the booking fee.
  • Footwear:All players must wear appropriate, non-marking tennis shoes to protect the court surfaces.

Physical Activity, Injury & Medical Release

  • Risk Acknowledgment:You acknowledge that tennis and its associated training are physical activities that carry an inherent risk of injury.
  • Medical Fitness:By enrolling yourself or your child, you declare that the participant is medically fit to engage in physical activity.
  • Indemnity:To the full extent permitted by law, you release and indemnify Better Tennis Plus, its directors, and employees from any liability, claims, or costs arising from injuries sustained during our programs.

Media, Photography & Privacy

  • Privacy Standards:Better Tennis Plus collects and stores your personal details securely in compliance with the Tennis Australia Privacy Policy. Your data will never be sold to third parties.
  • Media Consent:BT Plus may occasionally take photographs or video footage of coaching sessions for technical feedback or promotional use (website, social media). If you do not wish for your or your child's image to be used, you must notify us in writing via email prior to the start of the term or clinic.
